The sampling process for custom OEM scarves involves multiple approval gates, each with its own timeline, and compressing any one of them without preparation typically creates delays downstream.

This guide maps every stage of the custom scarf sampling process, from brief submission through to pre-production sign-off, so you can plan with confidence. The timelines below reflect WeaveEssence’s standard process for knitted, woven, and printed scarves produced at our factory in China.

The single most important factor in hitting the 10–15 day sample window is brief completeness on Day 0. Incomplete briefs — missing yarn count, gauge, or Pantone references — are the most common cause of sampling delays and can add 5–10 days before development even begins.

Common Misconception: “Sampling Can Always Be Rushed”

Misconception: Buyers often assume that paying a rush fee will compress any sampling timeline to 5–7 days regardless of construction type.

Reality: Rush sampling (7–10 days) is only viable for standard plain-knit constructions when yarn is already in factory stock and the brief is 100% complete on Day 0. Woven constructions require loom setup and cannot be rushed below 12 days. Jacquard patterns require machine programming that adds a fixed 3–5 days regardless of rush status. Cashmere and specialty fibres require external yarn sourcing that adds 3–7 days. In practice, buyers who request rush sampling without a complete brief often receive their sample later than buyers who submit a complete brief on standard lead time — because the factory cannot begin until the brief is finalised.

The Custom Scarf Sampling Process — 5 Stages

Step 1

Brief Submission (Day 0)

Core point: A complete brief on Day 0 is the single most important factor in hitting the 10–15 day sample window.

The buyer submits a spec sheet covering yarn count, gauge, finished dimensions and construction type, along with a yarn card or fibre specification, a design file or sketch, and Pantone TCX colour references. Including colour references at this stage allows lab dip preparation to begin in parallel with sample development. Incomplete briefs — missing yarn count, gauge or size — are the most common cause of sampling delays and can add 5–10 days before development even begins.

Step 2

Sample Development (Days 1–15)

Core point: Yarn is sourced, fabric is knitted or woven, and finishing is applied.

The factory sources yarn to specification, programmes the knitting or weaving machine, produces the sample fabric, and applies all finishing processes including fringe treatment, hemming, washing and pressing. Standard yarns held in factory stock allow development to begin within 24 hours of brief receipt. Specialty fibres — cashmere, modal blends, recycled yarns — may require external sourcing that adds 3–7 days. The completed sample is quality-checked against the spec sheet before dispatch.

Step 3

Sample Delivery & Review (Days 16–20)

Core point: The buyer reviews the physical sample against the original spec sheet point by point.

Express courier delivery from China to major markets (US, EU, UK) typically takes 3–5 business days. Upon receipt, the buyer should measure finished dimensions, assess yarn handle and weight, check construction quality and compare colour against the Pantone reference. Feedback should be compiled into a single written revision list — not communicated incrementally — to avoid multiple amendment rounds that each add 5–7 days to the timeline.

Step 4

Colour Approval / Amendments (Days 21–27)

Core point: Lab dips are submitted for colour approval; counter-samples are produced if construction amendments are required.

The factory submits lab dips — small dyed yarn or fabric swatches — for the buyer to approve against the Pantone reference. Colour approval typically takes 5–7 days including courier transit. If construction changes were requested in Step 3, a counter-sample is produced in parallel with lab dip preparation where possible. Colour approval is confirmed in writing before the process advances to pre-production.

Step 5

Pre-production Sign-off (Day 28+)

Core point: Written approval of the pre-production sample is the mandatory gate before bulk production begins — no exceptions.

The pre-production sample is produced from the actual bulk yarn lot on the production machines. It sets the definitive quality benchmark against which the bulk shipment will be inspected at AQL 2.5. The buyer provides written sign-off; verbal approval is not accepted. Once written sign-off is received, bulk production commences and the 45–60 day bulk lead time clock starts. Any changes requested after sign-off require a new pre-production sample and restart the bulk timeline.

How long does scarf sampling take?

Standard sample lead time is 10–15 days from receipt of a complete brief. Complex constructions or specialty fibres such as cashmere may extend this to 18 days.

Can sampling be rushed?

Rush sampling (7–10 days) is possible for standard plain-knit constructions with stock yarn. Woven and jacquard constructions cannot be rushed below 12 days due to loom setup requirements.

How many amendment rounds are included?

One amendment round is included in the standard sampling process. Each additional round adds 5–7 days — consolidate all feedback into a single written revision list.

When does bulk production start?

Bulk starts only after written pre-production sample sign-off. Once confirmed, bulk lead time is 45–60 days depending on construction type and order volume.

What do I need to provide to start sampling?

A complete sampling brief allows development to begin within 24 hours of receipt. Include these five elements to avoid delays:

  • Spec sheet — yarn count, gauge, finished dimensions (length × width in cm), and construction type (knitted / woven / printed)
  • Yarn card or fibre specification — fibre composition, yarn count, and ply; or reference to a stock yarn code if available
  • Design file or sketch — stitch pattern, fringe treatment, selvedge details, or print file in PDF / AI / PNG at 300 dpi
  • Pantone TCX colour references — one reference per colour; include a tolerance range if the yarn dye lot allows
  • Target price or budget range — allows the factory to flag yarn or construction changes that would exceed budget before development begins
